Summary

We are seeking a highly skilled and versatile individual to fill a temporary maternity leave position in our legal department, reporting to the VP of Risk Management, HR and Legal Counsel. This role combines[CS1] executive assistance with contract administrative duties, requiring a diverse skill set and the ability to manage multiple responsibilities efficiently in a fast-paced environment. Join our team today as we are currently hiring an Legal Administrator based in Dartmouth, NS.

Primary Duties and Responsibilities:

  • Provide basic administrative support, including answering calls, photocopying, and filing
  • Coordinate incoming and outgoing mail with discretion and confidentiality
  • Manage calendars for senior leaders (including the President, CFO, and VP HR & Risk), arranging appointments, meetings, and optimizing schedules
  • Coordinate and communicate travel arrangements for the senior leadership team
  • Work independently and within various business groups to address issues promptly
  • Prepare various reports, correspondence, and internal communications
  • Provide invoicing support and administration within the Loss Control department

Contract Administration:

  • Coordinate review and execution of contracts
  • Maintain contracts database and monitor renewal cycles
  • Other support for contract administration as required
  • Lead debt collection efforts, particularly in Ontario and Alberta
  • Prepare litigation materials in response to undertakings
  • Coordinate swearing of affidavits
  • Support corporate insurance renewals

Qualifications and Experience:

  • Post-secondary education in a related field is required
  • A minimum of 2 years of administrative and/or paralegal experience
  • Previous experience within an administrative or executive assistant role would be considered an asset
  • Working knowledge with Microsoft Office (Word, PPTX, Excel)
  • Ability to work collaborative and build relationships with individuals across the organization
  • Strong communication skills – verbal and written
  • Excellent organization and time-management skills
  • Well organized, detail oriented and a proven ability to work well in a fast-paced, deadline driven environment
  • Ability to work effectively with minimal supervision
  • Critical thinking, problem-solving and analytical skills required
