Fleet Coordinator - Nights

Position Overview: The Fleet Coordinator plays a critical role in supporting the day-to-day operations of the Maintenance Department across all divisions. This role is responsible for ensuring timely and cost-effective repairs, maintaining compliance with maintenance standards, and supporting operational efficiency. The Fleet Coordinator serves as a key point of contact between internal teams, vendors, and drivers to minimize downtime and keep equipment road-ready. This position requires strong organizational skills, proactive communication, and the ability to manage competing priorities in a fast-paced, dynamic environment.

Responsibilities: 

  • Approve purchase order requests and enter purchase orders (POs) in system
  • Review and respond to daily emails, requests, and maintenance-related issues
  • Respond to equipment breakdowns across all divisions during night shift operations
  • Adjust and maintain TMW File Maintenance Expirations
  • Update Retorque and PNET down reports for all divisions daily
  • Work closely with General Managers, Operations Managers, Dispatch teams, and drivers to ensure timely repairs and minimize downtime
  • Identify, address, and follow up on preventative maintenance (PM) service failures or issues
  • Manage and coordinate outside vendor repairs to ensure cost-effective solutions, prioritizing internal shop repairs when possible
  • Schedule and coordinate service with external vendors
  • Update and maintain equipment records through Customer terminal management systems – CTI (IOL), and Load2Day (Shell & Suncor)
  • Monitor maintenance budgets daily; review and approve maintenance spending in partnership with VPs and GMs
  • Build strong working relationships with VPs, GMs, Operations Managers, Shop Managers, and other key stakeholders across all business divisions
  • Communicate with Shop Managers daily regarding equipment status, shop activities, and repair updates
  • Ensure compliance with retorque requirements and PNET down procedures
  • Perform nightly yard checks and report findings accurately
  • Provide timely and accurate daily updates to leadership and key stakeholders
  • Complete special projects as assigned by senior management
  • Maintain clear, consistent, and proactive communication across all levels of the organization
  • Perform other duties as assigned

 

Qualifications and Experience: 

  • Post-secondary education in Business, Engineering, or a related field
  • Highly organized with a focus on driving process efficiency and continuous improvement
  • Advanced computer skills, particularly in Microsoft Outlook and Excel
  • Ability to work effectively in a fast-paced, high-pressure environment
  • Self-motivated and confident in making independent decisions
  • Strong relationship-building skills with both internal teams and external vendors
  • Detail-oriented with strong problem-solving abilities
  • Excellent verbal and written communication skills
  • Bilingual (English/French) considered an asset
  • Previous experience in the transportation or logistics industry considered an asset
